Mental Health Nursing Interview Coach

Privacy notice

This is a placeholder privacy notice for the Mental Health Nursing Interview Coach foundation. Items marked [placeholder] must be completed with real organisational details before this service is used with real applicants. Notice version: REPLACE_WITH_REAL_EFFECTIVE_DATE_BEFORE_PRODUCTION.

Information we collect

We collect only what is needed to run your mock interview: your preferred name, your email address, your spoken interview answers (as audio and a transcript), and records of the consent choices you make. We do not ask for your date of birth, home address, nationality or other demographic information that is not required for this service.

Why we process your audio

Your spoken answers are recorded with your consent, processed to produce a written transcript, and used to generate follow-up questions and personalised feedback. Audio is not used to train AI models by default.

Transcript processing

Transcripts of your answers are analysed to produce structured feedback against a published assessment rubric. Transcripts are treated as sensitive information and are not written to ordinary application logs.

Email use

Your email address is used to send you your feedback report and essential service communications only. We do not use it for marketing without separate, explicit consent.

Retention

Our intended approach: audio is deleted automatically after it has been successfully processed into a transcript, unless you separately choose the optional, temporary audio retention consent at the consent step, in which case it is deleted after a short, capped period instead. Transcripts, assessments and reports are retained for a limited period to allow you to review your feedback, after which they are deleted. Exact retention periods are [placeholder — retention periods have not yet been confirmed by the organisation].

Deletion

You can request deletion of your audio, your transcripts, your report, or your full account at any time. Deletion requests are recorded and actioned; some deletion steps in this service are automated (for example, audio deletion after processing) and some are still handled manually while this service is being developed.

Special category data

Because this service explores mental-health-related topics as part of values-based interview practice, some of what you say during your mock interview may constitute special category (health-related) data under data protection law, even though this service does not ask you to disclose your own health information and does not require it for a strong score. The organisation's specific lawful basis and Article 9 condition for any such processing are [placeholder — to be confirmed by the organisation, with legal advice].

Consent, and your choices

We ask for your explicit consent to microphone use and audio processing before any interview begins, and separately for optional temporary audio retention — you can continue without agreeing to the optional retention. Agreeing to take part is not automatically the same thing as this service's lawful basis for processing your data under data protection law; those are separate questions, and the organisation's position on lawful basis is set out above.

Access-link security

Your interview and report are protected by a private, unguessable access code in addition to your session link — the link to your session on its own is not enough to view your information. Report links are time-limited and eventually expire.

Limits of the safety pathway

This service is not a crisis or clinical service and is not continuously monitored by a healthcare professional. If our system detects that you may be describing your own immediate personal risk rather than a practice scenario, we will show you UK support information (such as 999, NHS 111, and Samaritans) — but we cannot contact these services on your behalf, cannot see your location, and cannot guarantee we will always detect a genuine disclosure correctly.

Your rights

Depending on applicable data protection law, you may have rights to access, correct, delete, restrict or object to the processing of your personal data, and to data portability. To exercise these rights, use the contact details below.

Third party service providers

This service is designed to use separately contracted providers for database and file storage hosting (Supabase), speech-to-text transcription and text-to-speech (OpenAI), AI-based assessment (OpenAI), and transactional email delivery (Resend). Whether a given provider is actually in use, and under what data-processing terms, depends on this service's current configuration — confirmed details, including any relevant international data transfer safeguards, are [placeholder — to be confirmed by the organisation].
